Start with a product or visual direction, then request evidence for the decisions your project must make. These paths keep product discovery separate from approval.

Match the Sample Type to the Approval Decision

“Send a sample” is incomplete because different samples answer different questions. A larger top-surface piece does not replace a cut edge, and a polished chip does not approve a matte production finish. State the decision first, then request the evidence that physically represents it.

The 100 × 100 mm and 200 × 200 mm dimensions above are practical request examples, not universal industry standards. Suppliers use different sample programs. Write the exact dimensions, thickness, finish and edge condition you need instead of assuming that “large sample” has one meaning.

What a Small Sample Can Approve

Color direction and undertone

A physical piece is more useful than a screen for deciding whether a surface reads warm, cool or neutral beside the materials already fixed in the project. Compare it with the cabinet door, floor, paint, metal finish or wood veneer that will remain in the finished space. Review it in the intended orientation and under more than one relevant light condition.

This is a reference approval, not a promise that every point on every slab will be identical. If the main decision is still which color family belongs in the room, use the sintered stone color and undertone guide before asking production to match an undefined name such as “warm white” or “stone grey.”

Finish, reflection and tactile texture

The sample can approve the finish it actually carries. Tilt it toward and away from the project light, view the surface at a low angle, and compare how polished, matte or textured options change reflection and visual depth. Touch matters here: a photo cannot reproduce the surface feel.

Finish names are not a cross-supplier standard. Record the exact product code and finish rather than assuming that every “honed,” “satin” or “textured” option has the same sheen or relief.

Edge and body—only when the sample shows them

A top-face chip cannot tell you what an exposed cut will look like. For worktops, tables, stairs, shelves, sink openings or other visible edges, request a cross-section at the relevant thickness. If a groove, bevel or mitre matters, request that fabricated detail rather than inferring it from a straight raw edge.

What a Small Sample Cannot Approve

Even a 200 × 200 mm piece is still a crop. It can contain one quiet area of a dramatic slab, one vein without the surrounding movement or no visible repeat at all. It therefore cannot release decisions that exist at full-slab or multi-slab scale.

  • Full-slab composition: overall vein scale, quiet zones, focal movement and the location of usable areas.
  • Pattern repeat: how often a face repeats across several slabs and whether that rhythm suits the elevation or cut plan.
  • Bookmatch: the relationship between Face A and Face B, the centre line, opening direction and the final pair orientation.
  • Batch or shade continuity: whether the current production or shipment falls within the range accepted for the project.
  • Fabricated result: an edge, groove, cut-out, seam or assembled detail that is absent from the sample.
  • Technical performance: a visual chip is not a test report, application approval, fabrication manual or installation-system review.

Writing “sample approved” without naming the included and excluded attributes can accidentally turn a surface reference into approval of pattern, batch, fabrication and performance.

Use Full-Slab Photos and Video for Pattern and Layout

Physical samples and slab media are complementary. Use the sample for surface and undertone; use full-face media for composition. A useful evidence pack shows the complete slab square-on, its face or product ID, the viewing orientation and close-ups of areas that affect the intended cuts. Video can add changing reflection and texture cues, but it still should not be treated as calibrated color proof.

For a veined or strongly directional design, ask how the finished pieces will sit inside that face. A full-slab image becomes more useful when the project team can mark seam lines, openings, waterfall returns, wall limits or other focal zones on a duplicate image.

Bookmatch needs the pair, not the chip

A bookmatched decision begins with the labeled A/B pair and ends with the actual project orientation. Approve the pair together, then review the centre line and cut layout. Turn the Reference Sample Into a Production Approval

The physical piece becomes useful production evidence only when its identity and approval boundary are recorded. Keep the sample or its label, and connect it to the exact product, finish and thickness. Then add the evidence that the sample could not carry.

Batch approval does not require pretending that decorative surfaces are perfectly identical. It requires a shared record of the reference, the current batch or shipment identity, the visual evidence reviewed and the acceptable range defined for the order. Ship Samples as Identified Project Evidence

A sample that arrives unlabeled, chipped or separated from its finish name is difficult to approve. Ask for an ID on each piece or on a durable sleeve, plus a packing list that repeats the product code, finish, thickness and sample type. Protect faces and edges from contact, and request a packing photo when several similar options travel together.

Your request should include a deliverable street address, receiver name, phone number, postal code, destination country and any courier-account preference. Confirm sample availability, sample charge if applicable, courier cost, transit expectation and tracking case by case. Do not assume a global “free sample” offer applies to every size, design or destination.

Photograph the package and pieces on arrival before the review begins. Transit damage should be recorded as shipping condition, not silently interpreted as the intended edge appearance or as a product-performance test. If the damaged zone is the part needed for edge/body approval, request a replacement or a clear undamaged section.
